The Roles at a Glance

  • Locations: We are currently hiring for sites in Stapylton, Pinkenba, Redbank Plains, and Eagle Farm.
  • Hours: Standard Full-Time hours with shift options available: 6am – 2pm or 9am – 5pm.
  • Structure: All roles are Full-Time with an initial temporary contract and strong potential to transition to permanent.
  • Variety: We are looking for both Assistant Administration Officers and more senior Site Administrators.

Assistant Administration Officer – Key Responsibilities

This role focuses on core support and ensuring the daily administrative flow of the site remains seamless:

  • The Face of the Site: Act as a secondary point of contact for all calls and visitors, ensuring internal and external customer expectations are met.
  • Payroll Support: Collate and ensure the authorization of site timesheets.
  • Data Entry: Assist with end-of-month data entry and essential reporting tasks.
  • Document Control: Collate and supply customer reports and general site documentation.
  • Site Support: Provide support to other site administrators and assist other employees when requested.
  • Office Maintenance: Manage the ordering and stock of stationery, groceries, and site consumables.

Site Administration Officer – Key Responsibilities

In addition to the above, the senior role takes on higher-level coordination and compliance duties:

  • Liaison Hub: Serve as a key liaison point between the Site, Head Office, staff, and contractors.
  • Financial Coordination: Ensure all invoicing, credits, and purchase orders are authorized and processed according to relevant procedures.
  • Compliance Management: Ensure the timely processing and sending of material tracking certificates.
  • Safety Leadership: Help develop and implement safe work method statements (SWMS) and risk assessments.
  • Operations Reporting: Maintain complex reporting tools and spreadsheets in relation to site performance and construction operations.
  • Systems Roll-out: Assist the Administration Manager with the implementation of new systems and process changes, such as facility analytics.

Who You Are

We are looking for motivated professionals eager to grow within a purposeful industry. You are the right fit if you have:

  • Experience: Between 2 years (Assistant level) or 3+ years (Site Admin level) in a similar administrative role.
  • Tech Savvy: Intermediate to advanced skills in MS Office and exposure to business software like MYOB.
  • Safety Mindset: A genuine commitment to safe work practices, including the wearing of required PPE at all times.
  • Communication: Strong oral and written communication skills with the ability to build rapport and maintain relationships.
  • Reliability: A current driver’s licence and a dependable "can-do" attitude.
